Privacy Policy 

Background

RAeS respects the privacy of its members and non-members and aims to act consistently with the Data Protection Act 1998. RAeS will hold and use data contained on you for administrative purposes, to keep you informed of activities, and to offer goods and services provided by the Society. This privacy policy sets out details of the personal information that the RAeS collects about you, and the ways in which it may use that information. 

The information we collect and how we use it

The RAeS uses information collected from its members and non-members to enhance the services that it offers to you, and to improve your experience on its site. The information that you provide will be kept confidential and used to support the Society’s relationship with you.  The RAeS protects the privacy of your information using secure servers and does not disclose any personal Information that we hold on you to any unrelated third party, except where you have given your express consent for us to do so or where required by law. 

When you use our services we may need to know your title, first name, surname, gender, date of birth, nationality, your qualifications, home and work contact details (phone, fax, email, street address, email address) and your mailing address. We also collect information relating to your employment including where you are currently employed, your job title, areas of interest/ expertise and your job function. As part of the membership application process we collect information relating to your qualifications (proof of completion, academic transcripts). In applications for some grades of membership we ask you to identify a referee and to provide contact information for them. When purchasing a product, your credit card details are also collected, and are temporarily stored until we have processed your order. Your details will be made available, as appropriate, to those officers of the RAeS who are responsible for the services that you request. For example, Publications and membership subscriptions are examples of services mostly delivered by the staff in the main offices. 

We gather this information to allow us to process your registration, and process any orders you may make. The relevant information is then used by us, our agents and sub-contractors to provide you with statements of your account and to communicate with you on any matter relating to the conduct of your account or the services in general. 

We may also use aggregate information and statistics for the purposes of monitoring website usage in order to help us develop the website and our services and may provide such aggregate information to third parties. These statistics will not include information that can be used to identify any individual. 

If you are (or are applying to become) a member of the RAeS, your personal data will be used to provide the members' services that you require. If you are seeking registered engineer status, then further information may be required from you (educational and employment history, plus the name of a qualified supporter) in order to assess your application. The RAeS will share some of your information with the ECUK in order to register your Chartered Engineer, Incorporated Engineer or Engineering Technician qualification.  

The RAeS records the services, publications and other products that you have selected. If you contribute to the work of the RAeS, for example by serving on a committee, this will be recorded; the information may then be used to provide you with access to any special services that the RAeS provides to assist that committee. The RAeS does not attempt to collect personal information by methods that are indirect or not made obvious to you, and it does not attempt to combine your information with data obtained from sources outside the RAeS. 

The information that you provide may be held and used by the RAeS for market analysis and production of internal reports, for marketing its products and services generally and (subject to any objection or preference you may indicate when submitting your details) for sending information to you about its activities, services and publications from time to time.  

When you make purchases at the RAeS Web Shop, or pay online for other services, you are using a partner company, WorldPay plc. The RAeS makes it clear on the payment pages that you are being transferred to the WorldPay site. 

Some RAeS events are organised on its behalf by other organisations. When you register for an event, you will be informed if the RAeS shares personal data with a third party for the purposes of providing the event. 

The RAeS Web site gives preferential access to some third-party services; often this is restricted to members only. You will be told, when you register for a third-party service, that this will mean that the RAeS will need to share your data with the third party company before you can receive the service. 

If you choose to receive information from other companies and later decide that you no longer want to receive further information, you should contact that company directly. You should be aware that, if you give any personal information to another company, the uses to which that information may be put will be determined by that company's privacy policy and the RAeS privacy policy will no longer apply. 

Otherwise, except for the purposes of law enforcement, regulation or legal proceedings, or with your explicit permission, the RAeS will not give or sell its members' and other contacts' personal information to third parties. For members who live outside the UK data may be transferred to their local centre. 

Our use of cookies and other information gathering technologies

Cookies are small text files that can be used by websites to make a user's experience more efficient. Cookies are used in certain areas of the website when you are required to enter log in details. The option to install this cookie is turned off by default. You can agree to have the cookie installed by checking the "save" button when asked whether you wish to store your user details. The cookie saves your login details so that you will not need to enter your username and password each time you access our content from the same computer.  

Tracking your behaviour on the Web site

A minority of the banner advertisements on the RAeS Web site may be from third party advertising servers, and these may set cookies under their own policies, as indicated in our cookie statement. All Web servers log record each page request, together with the time and date, and the Internet (IP) address of the user who requested the page. Except in the case of malicious activity against its site, the RAeS makes no attempt to use an IP address to trace an individual user. Where an RAeS Web site restricts access to staff or students of particular organisations, the RAeS may also test your IP address to determine whether it falls into the ranges used by subscriber organisations for that service. Otherwise, the RAeS uses server logs only to see general trends, such as which areas of the site are popular, the most frequent paths that users follow, and so on. This helps to improve the site for you in future. 

Updating your details

The accuracy of your personal details is important to the Society.  If any of the information that you have provided to The Royal Aeronautical Society changes, for example if you change your e-mail address, name or payment details or if you wish to cancel your membership or registration, please let us know the correct details by sending an e-mail to or letter to The Royal Aeronautical Society (see How to contact the Royal Aeronautical Society):. 
  • If you are a registered Web site user, then you can log on to the site to review and update your contact details and mailing preferences in the membership area of the site.
  • If you are not registered on the site, please use our mailing preferences form.
  • Otherwise, if you change e-mail address, you would like to change your mailing preferences, or you need to advise the RAeS of any other changes, please contact the Society (see How to contact the Royal Aeronautical Society)
  • Please ensure that you provide enough information for staff to identify you (such as the address that the RAeS is using to communicate with you, and your membership number if you are a member).

 Right of access to your information

Under the Data Protection Act you have the right to ask for a copy of the personal information we hold about you (for which we may charge a small fee) and to have any inaccuracies corrected. For the protection of our members and visitors we will take all reasonable steps to confirm your identity before providing you with any information we may hold about you. Your consent

By submitting your information you consent to the use of that information as set out in this policy. If we change our privacy policy we will post the changes on this page, and may place notices on other pages of the website, so that you may be aware of the information we collect and how we use it at all times. Regularly reviewing this page will ensure that you are always aware of what information we collect and how we use it. Continued use of the service will signify that you agree to any such changes. Owing to the global nature of the Internet infrastructure, the information you provide may be transferred in transit to countries outside the European Economic Area that do not have similar protections in place regarding your data and its use as set out in this policy. By submitting your information you consent to these transfers. 

Your responsibilities

You must not share the password for your RAeS account. Your passwords are your responsibility, and must not be disclosed to any third party. This is also important for your own protection and that of your personal data. If you suspect that your password or account information has been compromised, please inform us promptly and change your password.
